Recent Case Study


We consulted to a client company desirous of producing an international conference and expo in New York City. Our venue search revealed the most attractive opportunity was to combine all three portions of the event at the Marriott Marquis in Times Square.

 

After we negotiated favorable rates and conditions, the client contracted for sleeping rooms, conference rooms and expo space.  There was a conference room rental fee penalty if the number of sleeping rooms booked fell to 90% of the total committed.

 

At the three week mark before start date, booked sleeping rooms were only 46% of total committed and client was faced with a substantial penalty fee. We renegotiated the contract and successfully amended it to eliminate penalties as long as rooms booked reached 60% of the original commitment. The client achieved the new benchmark and avoided any penalty fee.

   CASE STUDIES

1.     We were contacted by a new client where their internal sales department was about to book sleeping rooms and meeting space at the Fairmont Scottsdale Princess when it was discovered that the resort would not guarantee specific meeting space with ceiling height necessary for the conference presentation.   They had to cancel.       

With only seven months before the annual meeting and no venue booked, we were able to research, negotiate and secure space at The  Boulders at a substantial price reduction of over $50,000, VIP concessions with specific meeting rooms by name and other details in the contract.

2.      An ongoing client that uses our services and had very recently decided on a venue for their conference came back to us only four months prior to the start date.   We were informed that the budget was slashed and they needed to cancel the    original venue contract and find a new venue of similar quality but at a cost reduction of 25%.

We accomplished the task in twelve business days. The new venue received universal praise form the attendees and the client netted a 32% savings over the original venue.     

3.   A client that uses our services for overall research but likes to make contact and negotiate pricing with venues themselves, was about to book a 500 sleeping room meeting at a South Carolina resort. As an alternative, and utilizing our broad trade relationships within the industry, we suggested they consider a Florida resort of superior quality at a net savings of $70,000 for the sleeping room cost alone.

4. A client booked a three (3) star resort for a large meeting in 2008 on their own but requested our assistance for their 2010 meeting. The specifications included 600-750 sleeping rooms over a three day period, conference rooms, F&B and resort amenities.

     After careful research, we negotiated and secured a four (4) star resort for the 2010 meeting at rates which produced cost 13% below what the client is paying in 2008.
